Embedding PDFs in shared sheets shouldn't break your workflow.

This user's problem is exactly the kind of friction that makes people wonder if their tools are working for them or against them. They did something perfectly reasonable, embed a PDF into a shared Excel sheet, and the whole collaborative model broke down. Auto-save switched off. The sheet stopped updating for both users. The tool, which was supposed to enable teamwork, became a barrier. And the question they're left with is not about a missing feature. It's about trust: can I rely on this system to let me work the way I need to work?

The frustration here isn't just technical. It's structural. Traditional spreadsheets were built for a single user working in isolation. Adding objects like PDFs was an afterthought, not a design principle. When you layer real-time collaboration on top of that foundation, you get exactly what this user encountered, a brittle experience where one action breaks another. The spreadsheet doesn't know how to handle a PDF as a living part of a shared document because it was never architected to think of data that way. It treats the PDF as an exception, and exceptions break workflows.

This is where we see the real cost of legacy tools. The user's instinct was correct: a shared sheet with embedded templates is a smart, efficient way to collaborate. They shouldn't have to choose between embedding a PDF and keeping auto-save on. They shouldn't have to hack together a workaround using cloud folders and manual links. The tool should absorb that complexity. An AI-native spreadsheet would see the PDF not as a foreign object, but as another data type, something to be referenced, displayed, and synced automatically, just like a cell value or a formula. It would understand that a template is part of the workflow, not an obstacle to it.

So our take is plain: this problem should not exist. If your spreadsheet can't handle a PDF without breaking collaboration, it isn't a modern tool, it's a relic with a fresh coat of paint. Users deserve a system that treats every piece of data as a first-class citizen, whether it's a number, a chart, or a document. The solution isn't a workaround. It's a new approach to how spreadsheets think about data in the first place.

My coworker and I are trying to make a shared excel sheet with PDF templates that we can both access. When I added the PDF as an object the sheet switched the auto save off and it wasn’t auto updating to both of us.

Is there any other way to add a PDF and the sheet continues to auto update/save to both of us?
