Transform event data into clear carbon insights with an AI-native approach

Calculating carbon emissions for your sustainability project is an essential step in understanding the environmental impact of your event.

Sustainability reporting today is a perfect snapshot of a motivated volunteer, a pile of raw data, and no clear path forward. The problem isn't the person. It's the process. Spreadsheets were never designed for this kind of work, and asking someone to manually build distance tables, match transport modes, and apply emission factors across multiple sheets is asking them to become a data engineer on zero budget.

What this volunteer needs isn't more guidelines. They need a tool that understands what they're trying to do. An AI-native spreadsheet can read the postcodes, recognize that "train," "plane," and "car" are distinct transport categories, and automatically pull distance data from public APIs. It can apply the appropriate UK government emission factors, the ones buried in PDFs that are hard to find, without the user hunting for them. The carbon calculation becomes a single instruction, not a multi-table formula chain. The real innovation here is shifting the burden from the user to the tool.

The volunteer's instinct to structure the data into tables is sound. Traditional spreadsheets reward that kind of thinking. But they also punish it when the data changes, when a new attendee registers or a travel mode is corrected. An AI-native approach treats the dataset as a living thing. Ask a question like "What is the total travel carbon for attendees who flew from cities more than 200 miles away?" and the system interprets the intent, joins the relevant tables, and returns an answer. No manual rebuilding. No formula debugging at midnight.

The takeaway is direct: if you are the person responsible for sustainability reporting and you have no budget, you should not be writing VLOOKUPs. You should be using a tool that lets you describe the problem in plain language and get the answer back. The technology exists. The only question is whether you choose to keep wrestling with legacy workflows or let the spreadsheet do the heavy lifting for you.

Hi everyone, I’m volunteering for this science organisation and they were hosting a big event recently. I’m responsible for sustainability project and to calculate carbon emission and make a report. I really don’t know where to start I have all the data about attendees, from where they travelled, what mode of travel they used, same for speakers, all the venue details and waste. It’s just quite difficult to find straight forward guidelines for carbon accounting in the uk. I don’t have any budget either so calculations and reporting is all on me. How would you calculate carbon emission for travelling…
